Open Position at NDTO: Grants & Membership Coordinator

The North Dakota Trade Office (NDTO) is a fast-paced working environment that operates on a global level. Our small team is dedicated to working with North Dakota companies to help them grow their business across borders. We frequently engage with business leaders, dignitaries and government officials from all over the world, and our team works diligently to promote North Dakota and our exporters. The ideal candidate will have the ability to easily shift between projects and commit to providing a high quality of work.

Job Type:

This position is open to either full-time or part-time candidates.

Primary Function:

The Grants & Membership Coordinator is responsible for administration of NDTO grant programs, as well as communication with grant program applicants and North Dakota exporters for the utilization of our current grant programs. This position also engages with current and potential/future members to understand the needs and plans of the business including the company’s domestic and international components and conduct research report to help North Dakota companies grow their business domestically and internationally.

Core Duties and Responsibilities:

Grants Administration

  • Writes technical applications and prepares budgets for state and federal grants.
  • Prepares quarterly and annual grant reports that align with the requirements of the granting authority.
  • Oversees and manages all grant activities and budgets.
  • Oversee company application process and trade trip expenses for NDTO’s state and federal grants.
  • Research grant opportunities that may be beneficial to NDTO and North Daka export companies.


Membership Coordination

  • Manage NDTO’s member companies’ data and member benefits using CRM software.
  • Send out welcome and renewal membership letters to NDTO exporter members and trade service providers.
  • Update NDTO’s team on membership numbers, members due to expire and auto-renew.
  • Request accountant to auto-renew members.
  • Process Member Reimbursement Requests and ask accountant to send out a check.


Research

  • Interface through face-to-face visits on a regular basis to support and engage assigned NDTO members to ensure that they maximize the benefits and services provided by NDTO.
  • Identify and recruit potential/future NDTO members through the explanation and promotion of services and benefits available through membership.
  • Retain existing NDTO members through the explanation and promotion of services and benefits available through continued membership.
  • Conduct a variety of research reports using NDTO databases and tools to help member companies find potential markets for products and services.
  • Connect NDTO members to resources, emphasizing TSPs, to ensure questions and issues are resolved in a timely manner.
  • Initiate and work with contacts from foreign and domestic government agencies to research potential markets related to products and services produced in North Dakota.


Perform other duties as assigned

Other Requirements:

  • Bachelor’s Degree; Or four years equivalent experience. International business experience a plus. Certain degrees will carry more weight than others.
  • Must reside or be willing to relocate to Fargo, North Dakota.
    • Relocation allowances are not offered for this position.
  • Computer skills and ability to communicate effectively, both orally and in written form with both internal and external customers. Communication and computer skills include but are not limited to:
    • Business reports and presentations.
    • Research using web-based tools and databases.
    • Data analysis, interpretation, and explanation.
    • Proficiency with MS Office (Word, Excel, PowerPoint, Outlook).
  • Travel up to 20% of the time.
  • Display cultural and political sensitivity and have good diplomacy skills.
  • Valid Driver’s License.
  • Valid US Passport.


Physical Demands/Work Environment:

The physical demands described here are representative of those that must be met by an employee to successfully perform the functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Individuals will need to walk and be able to travel extensively by car and by air. Incumbents must be able to reach above shoulder heights, below the waist or lift as required to file documents or store materials throughout the workday.  Proper lifting techniques are necessary. On occasion the position may require lifting, up to 25 pounds, for files, related documents, or equipment. Primary environment consists of ambient room temperatures, lighting, and traditional office equipment. Periodic exposure to variable outdoor temperatures and climates is necessary because of international travel. Incumbent must also be able to sit for prolonged periods of time because of domestic or international air travel.
